FAQ for Vendors

Managing Your Artisan Shop

(Frontend Manager)

Q: What exactly can I manage from the Frontend Dashboard?
A: The Frontend Manager provides a clean, professional interface that allows you to run your shop independently. Key features include:

  • Centralized Product Hub: Easily add, edit, or delete your listings. You have full control over descriptions, pricing, and category assignments.
  • Real-time Inventory Control: Update stock levels instantly, and toggle “In Stock” or “Out of Stock” status to ensure customers never purchase items you haven’t finished making or you have already sold on your side.
  • Order Fulfillment Suite: View a detailed list of every order placed. You can update the status (e.g., from “Processing” to “Completed”).
  • Sales Data & Analytics: Access a dedicated “Reports” section to track your total earnings, number of items sold, and net profit over specific time periods.
  • Profile Customization: Upload your artisan logo, a photo of your workshop, and your personal “Maker’s Bio” to make your shop page truly yours.

Q: Can I manage my shop from a mobile device?
A: Yes. The interface is fully responsive. You can take a photo of a new creation, upload it, set the price, and publish it to the store while still in your workshop using your smartphone or tablet.

Pricing & Tax Entry

Q: How should I enter my product prices?
A: Our marketplace handles taxes differently depending on your legal status. Please follow these rules carefully to ensure your earnings are calculated correctly:

1. If you are VAT-Registered:

  • Input Rule: You must enter your product prices exclusive of tax (Net Price).
  • How it works: Our system (EU VAT/OSS) will automatically detect the customer’s location at checkout and add the correct VAT rate on top of your base price.
  • Example: If you want to set €500 for a snare drum, enter “500”. A customer in France will see €600 (including 20% VAT).

2. If you are NOT VAT-Registered (Small Artisans/Individuals):

  • Input Rule: You must enter the minimum total price you wish to sell the product for.
  • How it works: Since you do not charge VAT, the price you enter is what the customer sees. The system will treat your sale as “VAT Exempt” or “Outside the Scope of VAT.”
  • Example: If you want your cymbal to cost the customer exactly €500, enter “500”.

Q: Is the commission calculated on the price I enter?
A: Yes. To keep things fair for all artisans, the Rimindie Marketplace commission is calculated based on the price you input in the dashboard:

Artisan StatusPrice Input TypeCommission Calculated On
VAT RegisteredNet Price (Excl. Tax)The Net Price you entered.
Non-VAT RegisteredTotal PriceThe Total Price you entered.

Q: Why does the price change slightly for different customers?
A: For VAT-registered artisans, the final price “on the shelf” may fluctuate by a few Euros depending on whether the buyer is in a country with 19%, 21%, or 25% VAT.
This ensures you always receive your requested net price while we remain fully compliant with EU OSS (One-Stop Shop) laws.

For non-registered artisans, your price remains stable across the EU as no tax is added.

Shipping & Delivery (Your Shipping Tools)

How do I set my delivery fees? We use a specialized dedicated tool that gives you total control :

  • By Weight or Size: You can set different rates based on how heavy or large an item is.
  • By Destination: You can decide how much it costs to send a snare to a neighbor in Europe versus a drummer in Japan.
  • Simple Logic: You can set a “base rate” for your shop and then add specific rules for your heavier masterpieces.

Q: Can I set different shipping rates for different products?
A: Yes. You can define specific costs for each item. This is essential for artisans who sell items of varying weights or sizes.

Q: Can I offer “Free Shipping” for high-value orders?
A: Yes. You can set rules within each product to trigger free shipping if the customer spends over a certain amount on your items specifically.

Q: Who is responsible for the shipping?
A: You are the guardian of your work until it reaches the customer’s hands. You are responsible for safe packaging, insurance, and choosing a reliable carrier.
The good news? You receive 100% of the shipping fees collected from the customer.

Q: How do I let the customer know their instrument is on the way?
A: Once you’ve shipped the item, go to the order in your dashboard. Look for the “Customer Note” field. Paste the tracking number or the link there and mark the order as “Completed.”

The “85% Artisan Promise” (Commissions & Payments)

What is the “85% Artisan Promise”?

  • The Math: You keep 85% of the product price.
  • The All-Inclusive Fee: it covers all the credit card fees, Stripe transaction costs, and currency conversions.
  • For our French Artisans: Due to local laws, we must add 20% VAT to our commission. This means the total deduction is 18% (15% + VAT), which you can often recover in your standard tax declarations.

Q: Do you take a commission from my shipping fees?
A: No. We know that shipping high-quality percussion instruments requires careful packing and reliable couriers.

  • 100% Payout: You receive 100% of the shipping fees collected from the customer.
  • Rimindie does not take any commission or “cut” from the logistics costs.

Q: How is the commission calculated?
A: To keep things fair and transparent, commissions are strictly calculated on the Net Product Price.

  • For VAT-Registered Artisans: Commission is calculated on the price before VAT is added.
  • For Non-VAT Artisans: Commission is calculated on the base price you input.
  • Exclusions: Taxes, VAT, and Shipping costs are always excluded from the commission calculation.

Example :

No Hidden Fees, No Risk

Q: Are there any fixed costs to join Rimindie?
A: No. We believe in a partnership model.

  • No Listing Fees: It costs nothing to upload your entire catalog.
  • No Subscriptions: There are no monthly or yearly “membership” costs.
  • No “Maintenance” Fees: You are never charged for hosting your shop or using our premium tools.
  • Performance-Based: We only earn when you make a sale. If you don’t sell, you don’t pay a cent.

Q: How do I get paid?
A: We use Stripe Connect to ensure your money is handled securely. You’ll be asked to create a Stripe account linked to Rimindie. Once you mark an order as “Completed” and provide tracking, the funds are released to your bank account in Euros (EUR).

Understanding EU VAT & OSS

Q: How does the system handle the €10,000 EU threshold?
A: The system automatically monitors your total sales across the EU. It applies your home country’s VAT rate until the €10,000 threshold is reached. Once exceeded, it automatically switches to the OSS (One-Stop Shop) rules, applying the specific VAT rate of the customer’s country.

Q: What about B2B sales (EU VAT validation)?
A: Our checkout includes a dedicated field for VAT numbers. The system performs a VIES real-time validation. If the number is valid, the system automatically applies the Reverse Charge (0% VAT) for intra-community deliveries.

Q: Does the system handle IOSS for non-EU sellers?
A: Yes. For artisans shipping from outside the EU into the Union, the system stores your IOSS (Import One-Stop Shop) number. It applies it to orders under €150, which facilitates faster customs clearance and ensures the customer isn’t charged surprise import fees upon delivery.

Q: Can I generate reports for my tax filings?
A: Absolutely. You can export VAT/OSS Reports directly from your dashboard. These reports are formatted to show sales by country, tax rate, and net amounts.

Q: I am not VAT registered. What should I do?
A: In your Vendor Settings, toggle the “Exempt from VAT” status or leave the VAT field blank. The system will ensure no tax is added to your products, and your invoices will automatically include the required legal disclaimer regarding your tax-exempt status.
